The BioBanking Policy defines system-level BioBanking configuration options.

Property Name Description
SDC Rules Specifies which BioBanking SDC rules should be enforced in the system. Set each rule to either Active or Not Active:
Rule NameDescription
GLP RuleConfirmation rule that maintains the GLP (Good Laboratory Practice) status of Samples. When a Sample is initially created it is given the GLP status set in the Study. As a Sample moves around the system it is possible for it to lose its GLP status. This occurs when the Sample is sent to a non-GLP Custodial Domain, is placed into a non-GLP Physical Store, is placed into the custody of a non-GLP trained user, or the Sample family changes to a non-GLP Study. In addition, if a Sample is in a Box or Package and the Box or Package meets the criteria to lose GLP status, as specified above for Samples, then all Samples in the Box or Package lose their GLP status. Once a Sample has lost its GLP status it cannot be restored.
Study Has Protocol RuleValidation rule that ensures a Study of Type "Clinical" also has an External Protocol Id defined. Rule check occurs when a Study is created or edited.
Ambiguous Subject RuleValidation rule that ensures a duplicate Subject is not used for the same "real" person when Subjects are assigned to Samples. When "Active" the Ambiguous Subject Rule checks that:
Each Subject has a unique External Participant Id in a Study.
That no two Subjects have the same External Participant Id in a Study.

The same person is determined if they have the same External Participant Id (specified during Sample receipt) for the same Study and Site. In addition, if the Sample's Study has an External Protocol Id, then the verification can span multiple Studies that all have the same External Protocol Id.

This rule is invoked when family attributes for the Sample (Subject Id, Site Id, External Subject Id, Approval details) are set or changed as well as when the External Protocol Id of a Study is set or changed.

Active RC RuleValidation rule that ensures a Study has at least one active Restriction Class before Samples can be assigned to the Study. Rule check occurs when Samples are created and assigned to a Study, as well as when a Restriction Class is made inactive to ensure it is not the last active Restriction Class for the Study.
Dispose RuleValidation rule that ensures the user disposing of Boxes or Plates is the current custodian of the Boxes or Plates. In addition, for Boxes to be disposed they must be empty. Rule check occurs when a Box or Plate is made inactive.
Clinical Sample Receive Action Action to execute when Samples are received for a Protocol driven Study. Called from the TrackItem PostEdit SDC Rule and only when the Sample's current status is "Allocated" or "Received".
Add new study using templates
Defines how new Studies are initially created:
Property Name Description
Prompt for TemplateYes means the user will be prompted to select a Study template when creating a new Study.
Default Study TemplateSpecifies the default Study template to use when creating a new Study. Only applicable when the user is not prompted to select a Study template, i.e. the Prompt for Template property is No.
Prompt Page To Choose TemplateSpecifies the prompt dialog page to open when creating a new Study and the Prompt for Template property is Yes. The page has fields to select the Study template and enter the new Study Id.
Prompt Page To Input Study IdSpecifies the prompt dialog page to open when creating a new Study and the Prompt for Template property is No. The page only has a field to enter the new Study Id.
Auto Create Subject
If Yes then new Subjects are automatically created when new Participants are added to a Protocol driven Study.
Sample Approval Rules Collection of rules available for the approval and conditional approval of Samples in a Study. Such approvals allow a Sample to become "In Circulation" and be freely processed in the Laboratory. Each Study can be configured to use any number of these rules:
Property NameDescription
Approval Rule NameName given to the rule and displayed in the Study Maintenance page.
ActiveYes means the rule is available for use by a Study.
Default Full ApprovalYes means this rule is by default applied for full approval in a new Study.
Default Conditional ApprovalYes means this rule is by default applied for conditional approval in a new Study.
Apply Rule for Study TypeSpecifies for which types of Studies this rule should be available. Choose one of Protocol driven only, Non-Protocol driven only, or Both.
Rule ConditionsCollection of conditions that defines the rule:
Property NameDescription
Table NameDatabase table from which the specified column value is retrieved. Select from:
s_study
s_sample
s_samplefamily

ValueSpecifies the value to compare with the retrieved database column value using the specified operator. Required if the Operator property is not is Mandatory.
Failure MessageMessage to display if this rule condition fails.
Receive Sample when Package is Received Controls how Sample status is set when the Package containing the Samples is Received:
Yes=Status of Samples in a Package is set to Received when the Package is Received (default).
No=Status of Samples in a Package is not set to Received when the Package is Received.
Freeze Thaw Copy Down Policy for Child Samples If the child_freezethawflag, child_freezethawcount, child_freezethawwarn, and child_freezethawmax properties are passed in from the MultiSampleChild Action, the Freeze Thaw values on Child Samples are set based on these properties. Otherwise, the copy-down strategy you define with the properties below are used for copying down the Freeze Thaw information from either the Parent Sample or the Child Sample's Sample Type.
For AliquotConditions that define the copy-down for Aliquots:
Property NameDescription
Copy Freeze That count from ParentYes/No
Copy Warning Limit FromParent or Sample Type
Copy Maximum Limit FromParent or Sample Type
For DerivativeConditions that define the copy-down for Derivatives:
Property NameDescription
Copy Freeze That count from ParentYes/No
Copy Warning Limit FromParent or Sample Type
Copy Maximum Limit FromParent or Sample Type
For Pooled SampleConditions that define the copy-down for Pooled Samples:
Property NameDescription
Which Freeze That count to copy from ParentMinimum, Maximum, or None
Warning Limit to CopyMinimum, Maximum, Sample type, or None
Maximum Limit to CopyMinimum, Maximum, Sample type, or None
Add Event Behavior When adding Samples for a Protocol Study Event "Add Event Behavior" determines how Samples should be added based on whether or not multiple instances are permitted.
OptionWhen Multiple Instances is not PermittedWhen Multiple Instances are Permitted
Always add new event (Default)Not allowed, an error occurs.Adds a second instance of the Event and associates the Sample with this Event.
Add new Event when permittedAdds the Sample to the existing instance of the Event.Adds a second instance of the Event and associates the Sample with this Event.
Update Existing EventAdds the Sample to the existing instance of the Event.Adds the Sample to the existing instance of the Event.
Status of Child Samples On Creation Determines the Status of Child Samples when they are created:
Property NameChild Sample Status
InheritInherited from the Parent Sample.
In PrepIn Prep
In CirculationIn Circulation
AllocatedAllocated
Optimize Child Sample Creation Whether or not to optimize the creation of Child Samples. The format of the parent_sampleid property passed to AddSDI on the Sample changes to use the new format when set to "Yes".
Storage Location Search Define which Storage Unit Types to include when searching for available space using the "Find Space" option (displays in the "Find" field dropdown). Values defined here display as options in the "Find" field in the Find Space dialog.
Property NameDescription
titletitle to appear in the "Find" field to identify the Storage Unit Type (such as Any Box, 9x9 Box).
ShowWhether or not to show this Storage Unit Type.
Search PropertyProperty on which to base the search. Choose "storageunittype" or "linksdcid".
Search Property ValueValue for the Search Property (such as Grid or LV_Box).
Participant Creation Rule Beginning with LabVantage 8.4, only one Participant record is created for a Subject under a Study regardless of the number of different Sites from which Samples are collected (from that Subject).

For backward compatibility, this option lets you choose whether to create a single Participant record when a Subject enrolls in a Study (Study-Subject), or create a Participant record each time a Subject interacts with a Site.

Property NameDescription
Study-Subject Creates one Study/Subject relationship (Participant record). If a Subject enrolls in a Study at Site A, then chooses to visit Site B for Sample Collection, 1 Participant record will be created to identify the Study/Subject relationship. This is the default behavior.
Study-Site-Subject Creates a new Subject/Study relationship (Participant record) each time a Subject interacts with a new Site (Study, Subject and Site combination). Primarily used for backward compatibility.
Storage Explorer "Refresh Statistics" determines whether to update Storage statistics automatically (when Storage Units are created, deleted or moved) or manually.
Property NameDescription
Manual OnlyStorage Statistics are not updated automatically upon Storage Unit creation, deletion or movement. Users must refresh the statistics manually or using the nightly task.
On Storage Unit creation, deletion or movementUpdates Storage statistics as before (automatically) upon Storage Unit creation, deletion or movement.

Freezer statistics can be updated using the "Refresh Count" button on the Storage Explorer list page.
