Purpose

 

Workorders track the individual tasks required to complete an Action Plan or Incident. In general:

When added to an Action Plan, Workorders define tasks to perform corrective and preventive actions.
When added to an incident, Workorders define a general set of instructions for the Incident.

Workorder Life Cycle

 

Status Description
Pending Status of the newly created Workorder when created through an Incident/Action Plan or through "Add" button in the "Workorder List" page.
Complete Status of the Workorder when marked as complete.

Affects On Incident and Action Plan Life Cycles

 

As Workorder status changes, it reflects changes in the status of the Incident and Action Plan.

Incidents

If "Workorder Required" is checked for Incident, Incident status remains "Approved" unless all Workorders are completed for the Incident.

If the Workorder is added through an Incident Finding or Action Plan ("Investigation Required" and "Lab Investigations Required" checked) for an Incident, Incident status remains "In Progress " unless all Workorders are completed for the Action Plan.

Adding a Workorder

From the Lab Investigations → Incidents tramstop, select an Incident from the the "Active Incident List" page, then click the "Edit/Investigate" button.

A Maintenance Page for the Incident opens.

If "Workorder Required" is checked in the "Incident" tab, the "Work Order" tab is displayed. Click the "Add" button. Provide information in the resulting maintenance page.

Property Description
Description Enter a text description if desired.
Type Choose the type of activity to be performed.
Status Status of the Workorder. By default it is "Pending" when newly created.
Due Date Choose the date and time the Workorder is due for execution.
Assigned To Choose the person with whom you want to associate execution of this Workorder (it will appear on the list page).
Message Enter the instructions directed to the person executing the Workorder.
Notes Enter descriptive notes if desired.

Operation is similar for an Action Plan. In this case, the specified tasks must be completed (Workorder status should be "Completed") before the status of the Action Plan is "Completed".

We have also included a provision to add generic Workorders outside of an Incident or Action Plan (described inAdding Generic Workorders).

 

Adding a Generic Workorder

Select the Lab Investigations → WorkOrders tramstop. In the Workorder List page, click "Add".

Provide information in the resulting "Add Work Order" Maintenance page.

Field Description
Workorder Automatically-generated identifier of the Workorder.
Description Text description.
Type Type of activity to be performed.
Status Status you want to appear on the Workorder List Page:
Scheduled for activities in process of completion.
Completed for activities that have been completed.
Cancelled for activities that you wish to cancel.
Pending for activities pending for completion.
Priority Priority based on requirements.
Due Date Ddate and time the Workorder is due for execution.
Assigned To Person with whom you want to associate execution of this Workorder (it will appear on the list page).
Message Instructions directed to the person executing the Workorder.
Notes Descriptive notes.

 

Marking as Complete

This operation completes the Workorder for an Action Plan or Incident.

When the statuses of all Workorders for an Action Plan or Incident becomes "Complete", only the status of the Action Plan or the Incident changes.

To mark a Workorder as complete, select the Lab Investigations → Work Order tramstop, then select a Workorder from the "Work Order List" page and click the "Select for Completion" button (you will be prompted for an ESig).

Provide information in the Complete Work Order maintenance page.

Property Description
Workorder ID Unique identifier of the Workorder.
Completed On Date on which the Workorder is completed.
Instructions Instructions in the Workorder.
Notes Notes for reference for the Workorder.
Due Date Date on which the Workorder is created.
Description Description of the Workorder.

"Complete All" changes Workorder status to "Complete".

Assign Department

"Assign Department" assigns Workorders to a Department. After selecting Workorders, you are prompted to choose a Department from a lookup page, which shows only Departments with the "Can be Assigned Work" option enabled. After selecting a Department, the Workorders are assigned to the Department.

Assign User

"Assign User" assigns Users to a Department. After selecting Workorders, you are prompted to choose a User). If a Workorder is already assigned to a Department, the list of Users shows only those who are Members of the assigned Department. The selected Workorders must be assigned to the same Department as the User.
