Workbook Maintenance

Top../images/arwup.gif (846 bytes)

Workbook SDIs (LV_Workbook SDC) are maintained through the Workbook List page, which is accessible at the Lab Admin → ELN/LES → Workbooks tramstop, and LIMS → ELN → My Workbooks (for User specific Workbooks).

Button Description
Add Opens the "Add Workbook" Maintenance page. The "Identifier" of the Workbook SDI is automatically generated by the system. You must enter a "Description".
FieldDescription
Owner Workbooks do not require an "Owner", as the "Owner" does not define any special privileges with regard to Workbook administration. As shown in ELN Introduction → Example Worksheet, a default Workbook is automatically created for each User upon initially entering the Worksheet Manager, and that User is the "Owner" of that Workbook. If you want this Workbook to be owned by a specific User, choose an "Owner" by selecting a User from the Lookup. This User will be the "Owner" of the Workbook.
NOTE:   When adding a Workbook using the LIMS "My Workbooks" Tramstop, "Owner" defaults to the current User and is not editable.
Status Sets the Status of the Workbook. Note that this is not an automatic transition based on an event, i.e., you must set it manually.

This is the basic Workbook life cycle:

StatusDescription
InProgress "InProgress" is the Status of the Workbook when it is first created. Initially, Workbook Status is set to "InProgress" as shown above. After saving the page, the read-only field becomes a dropdown list from which you can select the Status.
Complete "Complete" indicates the following conditions:
New Worksheets cannot be added to the Workbook.
Existing Worksheets cannot be modified. Notes are currently the exception, but this may change in the future when additional ELN Policy settings are added to define the scope of Notes maintenance.
When marking a Workbook as "Complete", all Worksheets must be "Complete" or "Cancelled".
CancelledThe description of "Cancelled" is the same as "Complete", with the exception that a Workbook can be marked as "Cancelled" even if it contains incomplete and un cancelled Worksheets.
Worksheet Templates Determines the set of Worksheet Templates presented to a User when creating a new Worksheet in a Workbook.
OptionDescription
All Makes all Templates available.
Restricted After saving the Workbook form, the "Worksheet Templates" detail is rendered. Choosing "Restricted" restricts available Templates to those specified in this detail.

When selecting a Template during Worksheet creation, available Templates are listed (in the dropdown list) in the same order as defined here. This lets you list more frequently used Templates first.

If the previously used Template is not provided as the default, the first Template listed serves as the default.

Edit Opens the "Add Workbook" Maintenance page (above).
NOTE:   When editing Workbooks using the LIMS "My Workbooks" Tramstop, "Owner" and "Status" are not editable.

FieldDescription
Add to Workbook The Worksheet will be added to the Workbook chosen here. You can choose a Workbook using the lookup or by changing the dropdown to "Another Workbook", which also opens a lookup page for selection.
Worksheet Template All Worksheets must be based on a Worksheet Template (see Introduction to Templates). Accordingly, select the Worksheet Template to use. When adding a Worksheet in the LIMS → ELN tramline, both your Private Templates and the Global Templates are shown in the dropdown. LES Templates and any Restricted Templates are not shown.
New Worksheet NameEnter a unique name for the Worksheet (unless the Worksheet is automatically named using the AutoNameTemplate Worksheet Option).

Optionally, choose to require Worksheet Name uniqueness across all Worksheets, globally, or just within the same Workbook. See ELN Policy → Worksheet Name Uniqueness property for more information.

The new Worksheet opens in the Worksheet Manager.

Other Tasks
Export Exports the Workbook SDI using the Configuration Management Tools (see Configuration Management Tools → CMT Transfer).

Private Workbooks (My Workbooks)

View and manage your own Workbooks (Workbooks assigned to the current User) using the LIMS → ELN → My Workbooks tramstop. From the My Workbook List page, you can Add new, or make changes to existing Workbooks.

Administrator privileges are required to "Complete" or "Cancel" a User specific Workbook.
